Full-Text Search

If you scan documents with OCR (optical character recognition) when you upload them, users can search the full text of the documents from the web interface.

Decide whether to use full-text search before you begin adding documents to WebDocs. If you add documents to WebDocs and then decide later that you want to use full-text search, you will have to contact RJS Software for custom programming to back-fill the records for all existing documents. It is much easier to upload documents with full-text search enabled right from the beginning.

Caution: Documents that are uploaded for full-text search contain records with search fields. The more documents you upload, the more storage space these records will take up in your database. The size of your database may increase dramatically as the volume of uploaded documents increases.

Full-text search does not work for documents that were manually uploaded. For documents to be usable for full-text search, you must upload them to WebDocs using one of the following:

  • Batch Report Server/400
  • WebDocs iSeries Batch Import

Full-text search works for the following file types:

  • Microsoft Word (DOC and DOCX)
  • Microsoft Excel (XLS and XLSX)
  • Microsoft PowerPoint (PPT and PPTX)
  • PDF
  • TIF

To set up full-text search:

  1. Set the DOCFTEXT data area to*YES:

    CHGDTAARA DTAARA(RJSIMAGE/DOCFTEXT) VALUE(*YES)

    Full-text search is enabled, and users can see the    Text Searchoption in the web interface:

  2. Enable full-text search when you upload documents to WebDocs with any of the following:

    • Batch Report Server/400:

      1. Set the BCHFULLTXT data area to *YES:

        CHGDTAARA DTAARA(RJSBCH/BCHFULLTXT) VALUE(*YES)
      2. From the RJSBCH menu, choose 6. Edit Report Masks.
      3. Choose the Spool File name.
      4. In Criteria Pattern, type *FULLTEXT.
