Purging Log Entries

After you set up auditing, WebDocs saves a log record every time a user performs an activity with a document. Depending on your auditing needs, you may only need to keep some log entries or only keep the most recent log entries.

Warning: Once you purge log entries, you cannot recover them except by restoring them from a back-up.

Best Practice: If you want to regularly purge log entries, schedule one or both of these commands to run as a job at night.

To purge log entries:

  1. From the main menu, choose95. Enter parameters for Log File purge - DOCLOGPRG.
  2. Choose which log entries to delete by typing anXin front of one or more of the following:
    • Clear all records- Delete all log entries.

Note:If you choose this option, do not choose any others.
    • Date range- Delete the log entries within a specific date range. There are two ways you can set the date range:
      1. Type dates in the format YYYYMMDD.

For example: From: 20000101 To: 20041231
      2. Select a range of dates by typing the values*CURRENT, *30DAYS, *60DAYS, *90DAYS, and *120DAYS. This option is useful if you want to regularly purge older log entries.

For example: To delete all log entries once they are older than 90 days, submit this command to a job with the following parameters: From: *120DAYS To: *90DAYS
    • Status equal to- Delete the log entries with the statuses you choose. After you pressEnter, a page displays that lets you choose existing statuses from a list. Type1next to all the statuses you want to delete, and then pressEnteragain.

For example: If you choose the statuses DOCINFO and VIEWNOTES, WebDocs will delete log entries with either of those statuses, but keep log entries with all other statuses.

Note: You can combine this option with the date-range option above. Only entries that match both the date range and the statuses will be deleted.
    • Status not equal to- Delete all log entries except the entries with the statuses you choose. After you pressEnter, a page displays that lets you choose existing statuses from a list. Type1next to all the statuses you want to keep, and then pressEnteragain.

For example: If you choose the statuses DOCINFO and VIEWNOTES, WebDocs will keep log entries with either of those statuses, but delete log entries with all other statuses.

Note: You can combine this option with the date-range option above. Only entries that both match the date range and do not match the statuses will be deleted.
  3. Press Enterto validate your selections and choose any statuses, if applicable.
  4. Press F3.

WebDocs selects log entries for deletion, depending on the criteria you chose in Step 2.
  5. From the main menu, choose 96. Run Log File purge based on parameters entered above - DOCLOGPRG3.

  6. Press Enter.

WebDocs deletes the log entries that you selected in Step 4.
