Creating Look-Up Lists
Look-up lists let you populate drop-down lists in the WebDocs web client for titles or search keys. Use look-up lists if you have a finite list of choices and you don't want users to be able to add choices to the list. Users choose values from these drop-down lists when they upload or search for documents.
For more information and examples, search for "look-up lists" on the RJS Software support site: http://support.rjssoftware.com/.
Creating a look-up list works the same for titles and search keys:
- For:
- InOptnext to the title or search key for the look-up list, type 7 and pressEnter.
Edit Lookup List displays.
- InValue, type a choice to display in the title drop-down list.
- (Optional) InSeq, type the sequence number of where this choice will display in the list. You can use any numbering scheme you want.
Best Practice:You may want to leave gaps in the numbering scheme to add other items later. For example: Add sequence numbers 10, 20, 30, and 40. Then later you could add 11, 12, 23, and so on.
Note: If you leave the sequence number blank, items display in alphabetical order. -
Press Enter.
The message Record Added displays and an empty row is added so that you can enter more choices.
- Repeat steps 3-5 to add as many choices as you want.
- When you've entered all the choices, to activate the look-up list, inUse Lookup List, type Y and press Enter twice.
The look-up list is now set up and activated. When users click the title drop-down list, they see the choices you entered:
